Vahana — Terms of Service
Last updated: 5 November 2026
Effective from: 5 November 2026
1. This agreement
These Terms are a binding contract between you and Vijayakumar M, proprietor of Vahana Agri Solutions, Vellore - Tiruvannamalai Rd, Santhavasal, Vellur, Polur, Tamil Nadu 606905 ("we", "us", "Vahana"), covering the Vahana mobile application and everything we provide through it (the "Service").
By signing in you accept these Terms and the Privacy Policy. If you do not accept them, do not use the Service.
These Terms are published as an electronic record under the Information Technology Act, 2000 and need no physical signature.
2. Who may use it
You may use the Service only if you are 18 or older and capable of contracting under the Indian Contract Act, 1872, and only for a lawful business purpose. If you sign in on behalf of a firm or company, you confirm you are authorised to bind it, and "you" means that business as well as you.
The Service is offered for use in India. We make no claim that it is appropriate anywhere else.
3. Accounts, businesses and roles
Sign-in. Google sign-in is the only way in. Keep your Google account secure; anything done through your sign-in is treated as done by you. Tell us at vahanasupport@gmail.com at once if you believe your account has been misused.
A business is the unit. Signing in for the first time without a pending invitation creates a new, empty business, and you become its Owner. Every record you then create belongs to that business.
Drivers. An Owner invites a Driver by email address. The invitation must be sent before that person's first sign-in — otherwise they get a business of their own instead of joining yours. An invitation is single-use and expires in 14 days.
What each role may do. An Owner has full access to their business. A Driver may log their own work, submit their own bills, request advances, and see their own attendance and salary line. A Driver cannot approve their own bills, cannot see payments, and cannot see any other person's pay. These limits are enforced in our database, not merely in the app, and you must not attempt to work around them.
Owner transfer. Handing a business to a different Owner account is done by us on the current Owner's written request, after we verify who is asking.
4. Your responsibilities for other people's data
This is the clause that matters most, and it is not boilerplate.
The Service exists so you can record details about your drivers, customers and brokers. For those records you are the Data Fiduciary and we are your processor. You are responsible for:
- having a lawful basis — consent or a legitimate use under the DPDP Act, 2023 — for every person whose details you enter;
- telling those people, in a language they understand, that their details are held in Vahana and why;
- keeping what you enter accurate, and correcting it when asked;
- passing on any request you receive about access, correction or erasure, and acting on it;
- what your own staff do with the access you give them;
- meeting your own obligations under labour, wage, tax and contract law — the Service records your decisions, it does not make them lawful.
You will indemnify us against any claim arising from your failure to do these things (see §12).
5. What the Service is, and is not
Vahana is a record-keeping and billing tool. It is not:
- accounting, tax, legal or payroll advice;
- a GST-compliant tax-invoice system. A bill produced by Vahana is a bill of the layout you configured. Whether it satisfies any tax law that applies to you is your determination, and where one is required you must issue it yourself;
- a payments product. A UPI ID printed on your bill is text. Vahana initiates no transaction, holds no money, and is not a payment system operator;
- a statutory register or a substitute for the books any law requires you to keep;
- a vehicle tracking or telematics system. It records the places you type, not where anyone is.
Totals, salary figures, outstanding balances and reports are computed from what you enter. Check them before you act on them. We are not liable for a decision taken on a figure whose inputs were wrong.
6. Licence, and what you may not do
We grant you a personal, non-exclusive, non-transferable, revocable licence to use the Service for your own business while these Terms are in force. We keep all rights in the Service, its software, design and content; you keep all rights in the data you enter.
You must not:
- use the Service to break the law, or to record work you know to be unlawful;
- attempt to reach data belonging to another business, or to escalate your role, or to defeat the row-level access rules — whether through the app, our API, or any other route;
- probe, scan or load-test the Service, or run any security testing against it, without our prior written permission;
- reverse-engineer, decompile or extract the source of the Service, except as Indian law permits regardless of contract;
- resell, sublicense, white-label or provide the Service to a third party as your own;
- scrape it, automate access to it beyond ordinary use, or evade its rate limits;
- upload malware, or any content you have no right to upload;
- misrepresent who you are, or claim a business that is not yours.
Attempts to bypass access controls are logged, may be blocked automatically, and may be reported to the authorities.
7. Optional features
Some features are switched on or off by us, for every business or for particular ones. There is nothing for you to enter or activate.
Turning a feature off never deletes what you recorded with it. History stays readable; only new entries stop.
8. Fees
The Service is provided free of charge at present. If we introduce fees, we will give you at least 30 days' notice, and you may close your account before they start rather than pay.
9. Your data, and getting it out
Your business's records are yours. We claim no ownership of them and use them only to run and secure the Service, as the Privacy Policy sets out.
You can export your bills and reports from the app at any time, and we recommend you do so regularly and keep your own copies. Keeping your own backup is your responsibility.
You grant us the limited licence needed to host, process, transmit, back up and display your data for the purpose of providing the Service — and nothing beyond that.
On request we will provide a copy of your business's data in a machine-readable format, within 30 days.
10. Availability, offline use and support
We aim to keep the Service available but give no uptime guarantee. It may be interrupted for maintenance, by a fault, or by a failure at a provider we depend on, and we may change or withdraw features.
Offline behaviour. Work you record without a signal is queued on your device and sent when the network returns. Until it is sent it exists only on that device: uninstalling the app, clearing its data, or losing the phone loses it. A queued item may also be refused by the server when it eventually arrives — because a rule rejects it or because someone else changed the record first — and the app will tell you when that happens. Confirm that important entries have actually synced.
Support is provided at vahanasupport@gmail.com, on a reasonable-efforts basis.
11. No warranty, and limits on liability
Subject always to §11.3, which is not excluded.
11.1 No warranty. The Service is provided "as is" and "as available". To the fullest extent the law permits, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that any figure it displays is correct where the data behind it is not.
11.2 Limits. To the fullest extent the law permits, we are not liable for indirect, incidental, special, consequential or punitive loss, nor for lost profit, lost revenue, lost business, lost goodwill, or lost or corrupted data, however caused. Our total aggregate liability arising out of or relating to the Service is limited to the greater of the amounts you paid us in the 12 months before the claim and ₹1,000.
11.3 What is never excluded. Nothing in these Terms excludes or limits liability for fraud, for fraudulent misrepresentation, for death or personal injury caused by negligence, or for anything else that cannot be excluded under Indian law. If you deal as a consumer under the Consumer Protection Act, 2019, your statutory rights are unaffected.
12. Indemnity
You will indemnify and hold us harmless against any claim, demand, loss, damage, penalty or reasonable legal cost arising from: your use of the Service; data you entered and the people it concerns; your breach of these Terms or of §4; or your infringement of anyone's rights.
13. Suspension and termination
By you. Stop using the Service at any time. Delete your account from Settings → Delete account, or ask us at vahanasupport@gmail.com to do it. Deleting the account of a business's only Owner deletes the business and everything in it, as described in §8 of the Privacy Policy.
By us. We may suspend or terminate access, with notice where practicable and immediately where not, if you breach these Terms, if your use threatens the Service or another user, or if we are required to by law. We may also discontinue the Service altogether on 60 days' notice, and will give you a chance to export your data first.
Afterwards. Access stops. We delete or irreversibly anonymise your data on the timeline in §7 of the Privacy Policy, except what we must keep by law. Sections 4, 9, 11, 12, 14 and 15 survive termination.
14. Grievances
For any complaint about the Service or about content on it:

We acknowledge within 24 hours and resolve within 7 days, as the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021 require. Data-related grievances follow §9 of the Privacy Policy.
15. Governing law and disputes
These Terms are governed by the laws of India. The courts at Tiruvannamalai have exclusive jurisdiction.
16. General
- Changes. We may amend these Terms. The updated version is posted here with a new date, and material changes are notified in the app or by email at least 15 days before they take effect. Continuing to use the Service after that is acceptance; if you do not accept, close your account.
- Third-party services. Sign-in depends on Google and hosting on Supabase, each under its own terms. We are not responsible for them, and a file you share out of the app is governed by whatever you shared it through.
- Assignment. You may not assign these Terms without our written consent. We may assign them to a successor of our business, on notice to you.
- Severability. If a clause is unenforceable, the rest stands.
- Waiver. Not enforcing a right once does not waive it.
- Entire agreement. These Terms and the Privacy Policy are the whole agreement between us about the Service.
- Force majeure. Neither party is liable for a failure caused by something genuinely outside its control.
- Notices. To you, at the email on your account or in the app. To us, at vahanasupport@gmail.com and Vellore - Tiruvannamalai Rd, Santhavasal, Vellur, Polur, Tamil Nadu 606905.
